How to Survive Peak Season Without Burning Out Your Team
July hits and everything escalates: bookings double, instructors are working six days straight, equipment goes missing, and you're fielding messages at midnight. Here's how to run peak season like a system instead of a fire drill.
Capacity Planning: Set Limits Before They Set You
The biggest peak-season mistake is not setting maximum daily capacity.
Before July 1st, know your numbers: - **Maximum lessons per day** — based on instructor count, equipment, and beach availability - **Maximum participants per lesson** — local regulations, safety, and instructor ratios - **Buffer slots** — leave 1-2 lesson slots unbooked for walk-ins, reschedules, and weather shifts
Once capacity is set, **enforce it in your booking system.** When slots are full, they're full. No exceptions. Overbooking leads to double-booked instructors, not enough boards, and bad reviews.
If you're using a booking platform, make sure your capacity limits are set per lesson type, per time slot, and per beach. Generic booking calendars that don't understand surf school capacity will let 30 people book a 12-person lesson.
Instructor Scheduling: Protect Your People
Your instructors are your product. If they burn out in week 2 of peak season, the rest of summer suffers.
**Rules that work:** - Maximum 5 days per week, no exceptions - Maximum 2 back-to-back lessons before a break - Rotating rest days so everyone gets a weekend day off every other week - Clear start/end times — no "just one more lesson" pressure

**Weekly inventory check** — every Sunday, count boards, wetsuits, leashes, and fins. Update your system. Mark damaged equipment.
**Per-lesson allocation** — when someone books a beginner lesson for 4 people, your system should reserve 4 beginner boards and 4 wetsuits. If the 5th person tries to book and you don't have the equipment, the slot should close.
**Equipment rotation** — don't use the same 10 boards all day while 10 others sit in the shed. Rotate to spread wear evenly.
