How to Manage Surf Instructors Without the 7am Group Chat

The Three Problems

**1. Scheduling** Who's working, when, and on what? This includes: - Regular availability (which days, which hours) - Time off (holidays, sick days) - Qualifications (who can teach what) - Current assignments (who's already booked)

**2. Communication** What does each instructor need to know for each lesson? - Time and duration - Beach location - Number of students - Skill level - Equipment needs - Any special notes (e.g., "participant has back injury")

**3. Changes** What happens when things change? - Weather cancellation → who needs to be told? - Beach switch → who's affected? - Instructor sick → who can replace them? - Booking cancellation → who's now free?

The Manual Way (And Why It Breaks)

**Spreadsheet + WhatsApp.** You maintain a spreadsheet with the week's schedule, post it to the group chat on Sunday, then spend all week fielding questions and changes via DMs.

When to Systematise
