How to Stop Double-Booking Surf Lessons (Without a Spreadsheet)

Double-bookings happen for one reason: your availability isn't enforced in real time. Someone books via email while you're updating the spreadsheet. Two people claim the last spot because neither can see the other's booking. Here's how to eliminate it.

Why Spreadsheets Can't Prevent Double-Bookings

Spreadsheets are static. They show what was true when someone last updated them. Between updates, reality changes: - A customer calls and books while you're at the beach - Two people email at the same time for the same slot - An instructor cancels but the spreadsheet still shows them as available - You forget to update availability after a phone booking

Every gap between reality and spreadsheet is a double-booking opportunity.

What Real-Time Availability Means

Real-time availability means: 1. Customer sees available spots right now — not as of last night's spreadsheet update 2. When someone books, that spot is immediately removed for everyone else 3. Instructor capacity is calculated automatically based on who's rostered 4. Equipment limits are enforced (you can't book 12 people if you only have 10 boards) 5. Condition-affected slots are hidden automatically

The Three Layers of Overbooking Prevention

**Layer 1: Capacity Per Product** Set a maximum number of participants per lesson. When the limit is hit, the slot shows "full." No manual tracking needed.

**Layer 2: Instructor Ratio Enforcement** Set your instructor-to-student ratio (e.g., 1:8). Available spots = rostered instructors × ratio. If one instructor is available, only 8 spots open. If two, 16.

When an instructor calls in sick, capacity automatically reduces.

**Layer 3: Equipment Availability** If you have 10 beginner boards and a lesson needs one per student, the system can cap at 10 regardless of instructor capacity. No more "we have the instructor but not the boards."

Phone and Email Bookings: The Weak Link

Even with an online booking system, if you also accept phone and email bookings, you're creating a gap. Two systems tracking the same inventory = double-booking risk.

Solution: enter phone/email bookings into the same system immediately. Better yet, direct phone callers to your booking link: "I can book you in right now — let me send you the link."
