How to Send Digital Waivers Automatically to Every Student

Every surf student needs a signed waiver before they get in the water. No exceptions. The question is how you collect them.

The Clipboard Problem

Most surf schools use paper waivers — a clipboard at the beach, signed minutes before the lesson. This fails because:

- **Students arrive late** and skip the waiver to "not hold up the group" - **Paper gets wet** and illegible - **Group bookings** mean one person signs but their partner doesn't - **Storage** — where do you keep 2,000 signed paper waivers for 3+ years? - **Proof** — in an incident, can you actually find and read the waiver? Can you prove it was signed before the lesson, not after?

The Digital Waiver Flow

Here's how automated digital waivers work:

1. **Customer books a lesson** (online or entered manually) 2. **System automatically emails each participant** a unique waiver link 3. **Participant fills out the waiver** — name, emergency contact, medical info, liability acknowledgement, digital signature 4. **System tracks status** — you see who's signed and who hasn't on your dashboard 5. **Unsigned?** One-click resend or automatic reminder before the lesson 6. **Records stored permanently** — searchable, timestamped, legally sound

What a Good Surf School Waiver Includes

**Liability Acknowledgement** "I understand that surfing involves inherent risks including but not limited to drowning, impact injuries, and marine life encounters. I voluntarily assume these risks."

**Medical Declaration** - Pre-existing conditions - Medications - Swimming ability - Any physical limitations

**Emergency Contact** - Name - Phone number - Relationship

**Photo/Video Consent** "I consent to photos and videos being taken during the lesson for marketing purposes." (GDPR-compliant opt-in)

**Digital Signature** Name + signature + date/time stamp

Why Individual Links Matter

Group bookings are where waivers fall through the cracks. One person books for a family of four. In a paper system, maybe one person signs. In a digital system, each participant gets their own link and their own waiver.

The booker can forward links to other participants, or each person gets emailed directly if individual details were collected at booking.

The Legal Angle

In the event of an incident: - **Paper waiver:** You need to find the physical form, hope it's legible, and prove the signature is authentic. If you can't produce it, your insurance may not cover you. - **Digital waiver:** Timestamped, stored permanently, searchable by participant name. Includes IP address and device info. Much stronger legal position.

Setting It Up

1. Create your waiver template with all required sections 2. Configure automatic sending after booking confirmation 3. Set a reminder for unsigned waivers (e.g., 24 hours before lesson) 4. Check your dashboard before each lesson — who's signed, who hasn't 5. One-click resend for any missing signatures

Total setup time: 30 minutes.
